The HR Specialist will serve as a key support resource for day-to-day HR operations affecting our US employees and contractors. This remote role requires strong knowledge of US employment laws, HR compliance, and operational excellence. You will work closely with the Head of HR to ensure seamless HR service delivery, maintain accurate records, support recruitment activities, and provide responsive assistance to US-based employees across multiple time zones.

HR Operations & Administration
- Serve as primary HR contact for US-based employees regarding HR policies, benefits, time-off requests, and general inquiries
- Support onboarding processes for US new hires, including documentation preparation, system setup, background verification coordination, and orientation scheduling
- Maintain and organize employee personnel files ensuring accuracy, completeness, and compliance with US record retention requirements
- Process employment verifications, reference checks, and other administrative requests in a timely manner
- Assist with offboarding processes, including exit documentation, system access termination, and final pay coordination
- Maintain and update HR documentation, employee handbooks, policy resources, and organizational charts
- Track and manage employee time-off requests, ensuring accurate records in HRIS platforms
Learning and Development - Coordinate end-to-end onboarding for new hires in the Philippines, Latin America, and the US, ensuring a consistent new hire experience while adapting to local requirements and time zones.
- Prepare and manage onboarding schedules, documentation, and system access (HRIS, timekeeping, communication tools), and track completion of all required forms, trainings, and checkpoints for each region.
- Act as primary point of contact for new hires during their first 90 days, monitoring progress, gathering feedback, and escalating concerns to HR and line managers in PH, LatAm, and US as needed.
- Partner with regional leaders and SMEs to consolidate and maintain onboarding materials, playbooks, and FAQs, ensuring content is up to date, aligned with company culture, and compliant with local regulations.
- Coordinate Learning & Development activities across PH, LatAm, and US, including training calendars, session logistics, invitations, attendance tracking, and evaluations.
- Support the rollout of global L&D programs (e.g., compliance training, leadership development, soft skills) by localizing schedules, communicating expectations, and monitoring completion and impact metrics per region.
- Maintain accurate records of onboarding and training participation in the HRIS/LMS, and provide regular reports and insights to HR leadership on engagement, completion rates, and areas for improvement.
